Mechanical & HVAC Estimating you can bid with confidence

Mechanical bids are won and lost on the details that are easy to miss: duct fittings, transitions, insulation wrap, hangers, test and balance, startup and the crane pick for the rooftop units. Our HVAC estimating service builds your bid from the mechanical drawings up, so every system is counted, every piece of equipment is listed and every labor hour has a source.

We work for mechanical contractors, sheet metal shops, design-build HVAC firms and general contractors who need a reliable mechanical number before bid day. You send the M-sheets, schedules and specifications; we return a complete Excel estimate organized by CSI Division 23, with quantities, material pricing, labor and equipment broken out line by line, plus colour-coded PDFs showing exactly what was measured.

Because HVAC scope overlaps with electrical, plumbing, fire protection and controls, we also write clear clarifications and exclusions. That protects your number when scope gaps appear between trades, and it gives the general contractor a clean scope letter to level your bid against others.

Want a quick budget first? Try our free construction calculators, then send your drawings for a line-item estimate.

What we take off

  • Supply, return and exhaust ductwork by size, gauge and pressure class
  • Duct fittings, transitions, takeoffs and volume dampers
  • Rooftop units, split systems, VRF, AHUs, chillers and boilers
  • Diffusers, registers, grilles and louvers by schedule
  • Hydronic, condensate and refrigerant piping with valves
  • Duct and pipe insulation by thickness and jacket
  • Exhaust fans, fire/smoke dampers and access doors
  • Controls, thermostats, test and balance and startup

What you receive

  • Excel estimate organized by CSI division and section
  • Quantities with waste factors shown separately
  • Unit material, labor and equipment pricing for your project location
  • Summary sheet with totals and cost per square foot
  • Colour-coded marked-up plans (PDF) for every quantity
  • Written assumptions, clarifications and exclusions
Scope

Mechanical scope we estimate

Sheet metal and ductwork

We measure rectangular, round and spiral duct by size and convert it to pounds of sheet metal by gauge, following SMACNA pressure classes. Fittings are counted separately because they carry more labor than straight duct, and flexible duct, sealing, hangers and seismic bracing are added where the drawings call for them.

HVAC equipment

Every scheduled unit is listed with its capacity, tag, quantity and location: packaged rooftop units, split systems, VRF outdoor and indoor units, air handlers, energy recovery ventilators, unit heaters, fan coils and terminal units. We add curbs, rails, vibration isolation, rigging and crane time where the equipment demands it.

Hydronic and refrigerant piping

Chilled water, heating hot water, condenser water, steam, condensate and refrigerant line sets are taken off by material, size and joining method, with valves, specialties, strainers, gauges and pipe supports counted from the details.

Air distribution devices

Diffusers, grilles, registers and louvers are counted from the air device schedule and the reflected ceiling plans, with neck sizes, finishes and mounting types matched to the specification.

Insulation and specialties

Duct wrap, duct liner and pipe insulation are calculated by area and length with the specified thickness and jacketing. Fire and smoke dampers, access doors, sound attenuators and flues are listed separately.

Controls, TAB and closeout

Thermostats, sensors, BAS points, test and balance, startup, commissioning support, filters for construction and closeout requirements are priced as their own lines so they are never buried or forgotten.

How we build an HVAC estimate

Every estimate starts with a full read of the mechanical drawings, schedules, details and Division 23 specifications, plus the architectural and structural sheets that affect mechanical work, such as ceiling heights, roof framing and shaft locations. We note conflicts and missing information as we go and list them as clarifications.

Quantities are measured digitally in PlanSwift or Bluebeam, system by system, floor by floor, so you can follow any line back to the plan. Ductwork is reported both in linear feet by size and in pounds of sheet metal, because most sheet metal shops price fabrication by weight and installation by fitting count and length.

Labor is calculated from recognised labor units for each item and adjusted for working height, access, building type and the location of the job. Material prices reflect current supplier pricing for the region, and equipment is listed so you can drop in your own vendor quotes when they arrive. The summary shows material, labor, equipment, subcontracts, overhead and profit so you can adjust markups in seconds.

Priced for your market

  • United States: imperial units, USD, local labor rates by state and metro
  • Canada: metric or imperial, CAD
  • United Kingdom: metric, GBP
  • Australia: metric, AUD
  • Prevailing wage and Davis-Bacon rates where required

Projects we estimate

We estimate mechanical systems for restaurants and kitchens with make-up air and grease exhaust, office buildings and tenant improvements, apartments and podium multifamily, schools and universities, medical offices and hospitals, retail centers, hotels, warehouses and industrial buildings. New construction, renovation and equipment replacement projects are all welcome.

Our process

How to order a Mechanical & HVAC estimate

  1. Send your plans

Email PDF drawings and specs, or share a Dropbox, Google Drive or bid-portal link. Bid sets, construction documents and conceptual drawings all work.

  2. Get your quote

We review the set and reply with a price, turnaround time and delivery date for your scope. You approve before any work starts.

  3. NDA and 50% deposit

We sign an NDA so your plans stay private. Work starts on a 50% deposit by card through our secure online checkout. A W-9 is available on request.

  4. Receive your estimate

You get quantities and pricing in Excel, organized by CSI division, plus marked-up plans. The remaining 50% is due on delivery.

FAQ

Mechanical & HVAC Estimating: common questions

Can't find your answer? Call (850) 343-4090 or email info@premiumestimatings.com.

Do you price ductwork by weight or by length?

Both. We measure duct by size and length, then convert it to pounds of sheet metal by gauge so your shop can price fabrication by weight. Fittings are counted separately because they drive labor.

Can you include equipment pricing?

Yes. We list every scheduled unit with its capacity and tag and apply budget pricing, so you can replace those lines with your vendor quotes before bid day.

Do you do HVAC load calculations or mechanical design?

No. We estimate from the engineered mechanical drawings you send. We do not size equipment or produce Manual J or load calculations.

Can you estimate VRF and chilled water systems?

Yes. We take off VRF outdoor and indoor units, branch selectors and refrigerant piping, and chilled water, heating hot water and condenser water systems with all valves and specialties.

What does an HVAC estimate cost?

Single-trade estimates start from $150. The price depends on the size of the building and the number of drawing sheets, and we confirm it in your quote before any work starts.

Which software do you use?

Takeoffs are done in PlanSwift and Bluebeam, and the estimate is delivered in Excel so you can edit any quantity, price or markup.
